Over the years in my professional journey, I have learned and understood that clear communication and a shared vision are the cornerstones of successful teamwork. Therefore, by setting explicit goals, providing detailed instructions, and offering continuous support, you empower volunteers to understand their tasks fully. Regular check-ins and feedback loops ensure everyone stays aligned and motivated, fostering a collaborative environment where each member feels valued and confident in their contributions.

Assigning tasks according to each volunteer’s ability and preference. I have realized that interest is a big driver in having tasks done. After this, training, supporting and counseling can propel these volunteers to greater heights. It is not rare that for the most the reward to volunteering is not as compelling and motivating as formal employment with incentives so the above comes in handy

Assign task to the volunteer on basis of their skills so that the work to be done smoothly but will also coordinate with the members if they are facing any difficulties in the assign task such that they can give their best output. As a lead i will also teach them new skills so that they won't get stuck on a single task and can be multi tasking as well.

It is very crucial that you sell the vision of your project to the volunteers and set clear goals so they can understand their tasks and what is expected of them in ensuring that those goals are accomplished. If volunteers get a full grasp of the aim of your project and understand the role they play, they’d be able to act accordingly.

In my experience, ensuring that volunteers understand their tasks involves providing a detailed orientation with clear instructions and visual aids. It's also important to assign roles based on individual strengths and conduct training sessions to prepare them. Regular check-ins and one-on-one meetings can help address issues and provide feedback. Encouraging open communication creates an environment where volunteers feel comfortable asking questions. Soliciting feedback and being flexible in adjusting plans can improve clarity and efficiency. Lastly, recognizing and appreciating volunteers' efforts and celebrating milestones keeps morale high and motivation strong.

The importance of training volunteers cannot be overemphasized. Many times, volunteers need to understand training sessions in the specific skills that are required to make your project successful. If one commits to using various tools and techniques to ensure that every volunteer on the team is up-to-date with the necessary knowledge and skills, then your project is in it’s way to being successful.

When I was spearheading volunteering at one of the non-profits where I worked, we always made sure the volunteers received a detailed orientation before we began any activity. We gave them the space and time to get all their queries clarified and made sure we were always there to guide them anytime they feel stuck or needed some assistance.

I remember that during my college days, I used to volunteer. I managed to do it. I still remember how it went. Open communication is very important. I told them to ask whatever they wanted to. It's always great to open up without hesitating. Various tools like meetings give us an opportunity to open up.

Nothing makes a team succeed like being in constant and open communication with each other, where everyone feels heard and seen. The same goes for volunteers for your project. Ensure that there are avenues for them to ask questions, receive guidance and feedback and this can be done by utilizing various communication channels such as emails, online meetings and forums etc

One thing i found helpful in my leadership journey is to develop a good bond with teammates, make sure that you are an approachable person to them, they might say they understood what to do, but might have doubts in their mind which they fear to convey. Always maintain a friendly relationship, make sure you consider them as well while making decisions bringing an inclusive feeling. A better and smooth communication ensures a healthy and productive workplace.

It is very important for the volunteer to know about the available resources and how they can use those resources to speed up the work. It will also help in increasing the quality of deliverables. It is also very important to make them aware about the usage of those resources, because unless they don't know when to use and how to use those resources, they will not be able to produce effective results.

Volunteering is something that cannot be done by forcing, so best way is encouraging them to identify their scope of task and make the sense of responsibility. Allow them to think in their way and guide them, Even we are leaders we cannot be a boss for them, just be a guider and work with them while celebrating their achievements.

In a community cleanup project, we empowered volunteers to take ownership. Each volunteer chose specific tasks and suggested improvements. This autonomy sparked creativity and dedication. Recognizing their efforts publicly and tying their contributions to project outcomes boosted morale. As a result, volunteers felt invested in the project's success, leading to a higher quality of work and sustained commitment.

In my experience, if you are to “ensure” that volunteers in any team understand their respective assigned tasks you have to engage a feedback loop. Open communication means there’s an ease in the willingness to communicate, giving clear goals or tasks to the best of my ability and in my own words as a team lead doesn’t mean I’m communicating effectively if I don’t ask the team members to iterate in their own words the tasks given them towards a desired outcome. To ensure that they were paying attention when I was communicating the tasks, I’d demand for a feedback, then I would further establish what was said before if they were right and correct where necessary if there’s any misunderstanding or miscommunication.

During the feedback loop ensure that they are aware of their mistakes but ensure that the feedback is raised in a diplomatic manner, they should feel to correct themselves rather than building the hatred towards you. Thus ensuring that they take their criticisms positively would create a huge impact

Customize required timesheets. Include a few specified checkboxes and lines for each day. Include a note at the top of the form emphasizing the importance of make their entries daily. It literally takes only a minute or two, and the data derived from this practice is the most concise. Ask all project staff to provide a brief note of their day's focus on the project, including the times they were unavailable, and submit them weekly. These forms, reviewed weekly, help to ensure the entire project group is inline, shows areas that need attention, reduces Micro-Mgt., and so much more. Follow-up also needs to be logged. Crunching this data helps in so many ways. Review it when repeating or planning the next project. AND...Funders love it!

First of all, making volunteers comfortable in their roles will go a long way in simplifying the goals. I've worked as a volunteer teacher with Npower in Nigeria and I understand perfectly that define the role makes it easier to achieve set goals. If the set goal is to ensure students in the ruler area, as it was the case, are taught English as a second language to prepare them for external examinations like the West African Examination Council, then the focus should strictly be on the syllabus. An outline with timeline should be broken down. This way, the volunteers understand exactly what to do and will deliver on the job.
