The job of an Air Import Customer Service representative in the forwarding industry involves facilitating the smooth transportation of goods via air freight for customers. Here are some key responsibilities associated with this role:
Primary Job Functions:
- Confirm bookings with customers, if necessary.
- Provide airline booking instructions, if necessary.
- Check pre-alerts for completeness and inform customers.
- Inform customers of flight arrival status.
- Ensure proper release of shipments by checking HAWB/MAWB status.
- Prepare customs clearance accurately and in a timely manner.
- Prepare trucking orders accurately and in a timely manner.
- Collect PODs upon completion of delivery.
- Report all exceptions to customers or counter offices.
- Update milestones promptly in the system.
- Timely update of all POs for vendor payments in the system.
- Create and send invoices for accurate billing as per company standards.
Back-up Tasks (Operational Export Flow):
- Process supplier bookings and inform overseas stations, when applicable.
- Process airline bookings based on requested flight schedule and rate agreements.
- Handle export customs clearance with suppliers and customs brokers.
- Coordinate pre-carriage with selected trucking vendors.
- Manage security screening, including Dangerous Goods when applicable and certified.
- Process HAWB/MAWB.
- Handle CMA/VBA/ECS/Cargonaut documentation and procedures.
- Complete AP/AR billing to finalize files.
- Create complete pre-alerts to overseas stations and customers.
- Report all exceptions to customers or counter offices.
- Timely update of milestones in the system.
Other Important Tasks:
- Ensure completeness of files, both digital and hardcopies.
- Work with the sales team to ensure clear SOPs and documentation for excellent customer implementation.
- Maintain proactive and professional communication with customers, vendors, and internal staff.
- Support inside sales with obtaining or quoting rates when requested.
- Prepare or verify reports upon management request.
- Conduct thorough file-checks to ensure timely and accurate figures in monthly closings.
Requirements:
- Bachelor's degree or equivalent experience in logistics, supply chain management, or a related field.
- Proven experience in air freight operations, preferably in import.
- Strong understanding of customs clearance procedures.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Proficiency in relevant software and systems.
