You're drowning in tasks and deadlines. How can you use technology to prioritize effectively?

When prioritising tasks, I like to set time aside to set them in order of importance and time cost. I usually will complete the hardest or most time consuming task first, and reward myself with the easiest & lease urgent task last. Using online tools like priority box helps me to categorise my tasks based on urgency and importance.

My calendar is the key to to keeping track of what I have going on in a busy day. I have each task set into a different category that I like to colour code. That way I have an idea what is going on in my day just by glance. E.g, Client meetings in yellow, Candidate meetings in green, Training in purple etc. I also make sure that my calendar is not only on my laptop but is also synced to my mobile, so I can receive alerts and reminders on my phone when away from my desk.

I like to create a table chart on OneNote to track my progress. I like to mark tasks off as I go along, so I fill the task block in with a colour to track my progress. Red for not started, orange for task in progress, and green for complete. This gives me a clear indicator on what needs to be done and what has been complete.
