Position Title: Admissions Coordinator

Reports To: Director of Admissions / Facility Administrator

Location: Navita Health | The Woodlands

Position Type: Full-Time

Position Summary: The Admissions Coordinator for Navita Health is responsible for managing the intake and admissions process for new clients, ensuring a smooth and efficient experience. This role involves evaluating potential clients, coordinating with clinical staff, maintaining accurate records, and providing excellent customer service to clients and their families.

Key Responsibilities:

Client Intake and Assessment:

  • Conduct initial assessments and screenings for prospective clients to determine eligibility for services.
  • Gather and review necessary documentation, medical histories, and insurance information.
  • Coordinate with clinical staff to evaluate the appropriateness of admissions based on clinical criteria.

Admissions Process Management:

  • Manage the entire admissions process from initial inquiry to final admission.
  • Ensure timely and accurate completion of all admission paperwork and documentation.
  • Communicate admission decisions to clients, families, and referral sources promptly.

Client and Family Support:

  • Provide clear and compassionate communication to clients and their families regarding the admissions process.
  • Address any questions or concerns clients or families may have about treatment options, facility policies, and procedures.
  • Offer support and guidance to clients and families during the transition into the facility.

Coordination with Internal Teams:

  • Collaborate with clinical, administrative, and financial teams to ensure a seamless admissions process.
  • Facilitate communication between clients, families, and treatment teams to coordinate care plans.
  • Ensure all necessary pre-admission evaluations and assessments are completed.

Record Keeping and Compliance:

  • Maintain accurate and up-to-date records of all admissions and related documentation.
  • Ensure compliance with all relevant regulatory requirements and accreditation standards.
  • Monitor and report on admission trends, metrics, and outcomes.

Outreach and Marketing:

  • Assist in outreach efforts to build relationships with referral sources, including healthcare providers, community organizations, and other stakeholders.
  • Participate in marketing activities to promote the facility's services and programs.
  • Represent the facility at community events, fairs, and other outreach activities.

Continuous Improvement:

  • Identify opportunities to improve the admissions process and enhance client experience.
  • Implement feedback from clients, families, and staff to drive continuous improvement initiatives.
  • Stay updated on best practices and industry trends in behavioral health admissions.

Qualifications:

  • Education: Bachelor's degree in Social Work, Psychology, Healthcare Administration, or a related field. Master's degree preferred.
  • Experience: Minimum of 2-3 years of experience in a behavioral health or healthcare setting, preferably in an admissions or intake role.
  • Skills:
    • Excellent communication and interpersonal skills.
    • Strong organizational and time-management abilities.
    • Ability to work independently and as part of a team.
    • Proficiency in electronic health record (EHR) systems and Microsoft Office Suite.
    • Compassionate and empathetic approach to client care.
  • Certifications: Relevant certifications in behavioral health, counseling, or social work are a plus.
Working Conditions:

  • Primarily works in an office setting within the behavioral health facility.
  • May require occasional evening or weekend hours.
  • Interactions with clients, families, and healthcare professionals.
