Area Maintenance Supervisor

Job Summary:

The Area Maintenance Supervisor will be responsible for ensuring the completion of

maintenance work to include: Regular and preventative maintenance programs, Regular and

preventative AC work, Emergency Preparation and response, and processing work orders and

training porter and maintenance staff. The Area Maintenance Supervisor will also facilitate

special projects, as assigned, train, and oversee the performance of work considering: plumbing,

electrical, carpentry, painting, landscaping, appliance repair, remodeling, HV/AC, refrigeration,

replacement flooring, glass and lock assemblies, have knowledge of landscape maintenance. This

will also include safety training, monitoring safety requirements, OSHA regulation compliance,

and overall safety environment.

Under general supervision of the Community Manager, the Area Maintenance Supervisor will

oversee the training of all maintenance/porter staff, time card management, will advise in

allocating and recruitment, and assist with quick turn projects and will focus on training and

performance measurement of all Maintenance employees. This position requires an

understanding of stocks of materials, pricing and dealing with vendors, professional training

process, and to be a dynamic, organized and self-starter individual and ability to make decisions

based upon need and cost effectiveness.

Essential Basic Requirements:

  • 8-10 years experience in residential maintenance management or


supervision

  • Ability to oversee general operations of several residential properties.
  • Experience managing a crew of 5 or more maintenance staff on all aspects


of building maintenance.

  • Experience training staff in maintenance and safety practices preferred.
  • Complete computer literacy including Word, Excel, Google system, forms,


and use of professional property management software such as Yardi or

other similar programs.

  • High school diploma or general education degree (GED).
  • HVAC Certification (EPA Universal- preferred)


An individual must also identify and resolve problems in a timely manner; gather and analyze

information skillfully; develop alternative solutions; demonstrate skills and management

experience of preventative and ongoing maintenance of a property; have advanced knowledge of

electrical, carpentry, remodeling, residential turns, dealing with constructions, dealing with

vendors, and plumbing, have familiarity with HVAC systems and various appliances; have

experience in electrical systems and repairs to appliances, circuits and fixtures, as well as have

experience in interior and exterior painting. Must be safety oriented.

Additional Requirements:

To perform the job successfully, an individual must have reliable automobile transportation to

transport heavy tools, materials and equipment from property to property, and a valid Driver's

License and insurance. Must be able and willing to travel to all company locations to carry out

management and maintenance duties and responsibilities.

Job Duties and Responsibilities:

  • Prioritize service requests at base property or properties; establish and oversee daily work


and schedules of regular maintenance work and special projects

  • Follow up on assigned work orders, unit turns, special projects and Preventative


Maintenance to ensure efficient and thorough completion

  • Monitor and assist in completing work orders received by maintenance staff; recommend


and implement improvements where appropriate

  • Responsible for preparing standards for maintaining inventory of equipment, tools and


supplies; conduct periodic checks to assist in arranging replenishment, as necessary

  • Purchase and oversee purchase of supplies, equipment and services as necessary
  • Consult with Property Management staff on any regular or unusual repairs requiring


special attention; prepare written plan of action and or recommendations for major

construction projects’ resolutions

  • Assist in the preparation of all maintenance related records required by the company and


other regulatory agencies and financial partners

  • Train and assist Property Managers and Maintenance staff; monitor all training records


and follow up with a periodical training plan

  • Ability to conduct periodical performance review for all maintenance staff; assist with


maintaining procedures in terms of write up and other disciplinary actions

  • Assist in periodical inspections and inspection preparations for each property; inspect


sites periodically for adherence to company maintenance and safety standards

  • Manage maintenance repairs and preparation according to inspections; assist with


scheduled quarterly unit inspections and preparation of properties for 3rd party

inspections

  • Make recommendations for contract services vendors and supervise contract maintenance


workers when needed

  • Train new maintenance staff on operational, safety and emergency policies, procedures


and practices; conduct on the job training of maintenance and porter staff

  • Serve as a role model for maintenance staff by following all company procedures and


presenting a professional attitude, appearance and image

  • Monitor all filing and paperwork, including but not limited to Yardi records, manuals,


forms, annual inventories, equipment, maintenance, safety and postings and other

Requirements

  • Report all violations of rules and regulations or any laws within 12 hours of incident
  • Provide budget information relating to long and short-term maintenance supply needs;

  • Regularly attend and conduct training classes and seminars to stay and help the rest of


Maintenance Staff abreast of new and improved methods of management of maintenance

and maintaining apartment communities

  • Participate in the interview process of maintenance and porter staff as needed


Maintenance Responsibilities:

  • Oversee all aspects of maintenance, including grounds, custodial, preventive, corrective,


deferred and emergency maintenance to ensure quality standards are being met by

maintenance and porter staff

  • Implement, follow, and ensure emergency procedures, including emergency power, water


and gas shut-off; fire extinguisher operation, and evacuation procedures are met

  • Ensure that appliance, equipment, plumbing, electrical systems, etc. are properly serviced


and maintained at each property by property staff

  • Periodically check the physical security of properties to include verifying storage areas


and entrances are locked, kept clean, organized and adequate lighting is maintained

  • Solicit maintenance and recurring service contracts for review with Community


Managers

  • Assist Community Managers and maintenance staff in securing and maintaining key


control systems of their properties.

Managerial Responsibilities:

  • Oversee daily performance of all maintenance staff
  • Train, schedule professional classes and teach maintenance techniques to maintenance


staff

  • Schedule and assign all maintenance staff daily work, must be able to maneuver and


rotate maintenance employees between properties, as needed

  • Determine which areas/project need specific maintenance personnel; must be able to


understand and confirm Company’s needs and priorities

  • Create and maintain a current schedule of on-call personnel. Schedules must be


distributed to Community Manager and all relevant Community Managers

  • Oversee, direct, guide, and motivate maintenance staff
  • Conduct Periodical Performance Reviews with Community Managers
  • Draft counseling records and performance improvement plans as needed
  • Review and approve time off request, OT, and time cards
  • Ability to work on-call for emergencies on weekends, evenings and holidays
  • Ability to maintain professional and congenial relationships with all residents and staff


and to respond to all requests for assistance and maintenance in a polite, uniform and

professional manner, showing no favoritism amongst residents or staff.
