Position Brief:

The Assistant Property Manager assists in overseeing the daily operations of the community including, but not limited to, managing financial matters, handling resident relations, coordinating maintenance work, enforcing leases, and preparing performance reports. They assist in managing the activities of the entire on-site staff and coordinate available resources to effectively and successfully accomplish financial and operational objectives as set forth by Westland Real Estate Group’s vision.

Requirements:

  • High school diploma/GED
  • 3+ years experience as a Property Manager or similar role - Certified Apartment Manager (CAM) preferred
  • Working knowledge of property regulations

Responsibilities of the Assistant Community Manager:

Property Management-

  • Manage all aspects of assigned community
  • Maintain accurate records of all community transactions
  • Maintain awareness of industry laws, standards and regulations
  • Inspect community on a regular basis
  • Report all liability and community incidents
  • Ensure property has appropriate security
  • Submit required reports as appropriate
  • Attend management meetings
  • Special projects and other duties as assigned


Leasing-

  • Oversee leasing activities to achieve occupancy standards


Resident Relations-

  • Encourage positive resident relations
  • Enforce property policies and procedures
  • Generate necessary legal action, documents and process in accordance with State Law and Westland Real Estate Group’s guidelines


Maintenance-

  • Oversee vendor/contractor work
  • Oversee maintenance and repairs
  • Assure there are adequate market ready apartments


Finance and Budgetary-

  • Accomplish financial goals and report performance periodically
  • Collect receivable accounts and handle operating expenses to meet budget
  • Give input on the development of and management of annual budgets


Personnel-

  • Oversee property personnel and manage their performance
  • Be aware of, implement and enforce company policies/procedures
  • Job Duties of the Assistant Community Manager:
  • Give input on setting market rents, assist in formulating annual budgets and income projections.
  • Audit invoices to ensure accurate coding and confirm billed amounts match approved scope of work and submit in a timely manner according to business standards; control and manage all funds (including Petty Cash)
  • Assist in setting team and individual performance goals; weekly, monthly and annual and conduct meetings to communicate goals and provide support to accomplish goals
  • Supervise and motivate team members to achieve operational goals; provide ongoing feedback
  • Oversee team members work to ensure quality and adherence to standards
  • Ensure teams awareness of industry laws, standards and regulations as well as market/industry conditions and trends via trade publications, professional organizations, etc.
  • Ensure implementation and enforcement of company policies/procedures
  • Give input to establish rental rates
  • Give input to determine monthly specials/ concessions for the property
  • Give input to determine rent adjustments and concessions, and negotiate incentive offers for renewals
  • Collect rent in a timely manner according to business standards
  • Manage delinquencies
  • Oversee leasing activities to achieve occupancy standards.
  • Oversee monthly lease renewal process; including generating reports, evaluating residents standing, assessing rental rates,
  • Review all notices to vacate to determine the cause of the move-outs - contact residents.
  • Generate necessary legal action, documents and process in accordance with State Law and Westland Real Estate Group’s guidelines
  • Oversee vendor/contractor work; communicate with vendors regarding work schedule, work quality and billing; maintain a collaborative relationship
  • Physically walk and inspect community and check vacant apartments on a regular basis
  • Conduct inspections of units as appropriate (semi annual and annual); inspect with residents as required to assess apartment conditions
  • Encourage positive resident relations.
  • Enforce residential policies and procedures by identifying violations and addressing violators
  • Oversee maintenance and repairs including managing inventory and aging of work orders to maintain alignment with business standards
  • Assure quality and quantity of market ready apartments
  • Update vacancy status on a daily basis on Availability Board and in core system (Yardi); coordinate with maintenance and make-ready staff to ensure timely condition of apartments after move-out
  • Report all liability and community incidents toCommunity and Regional Managers and corporate office immediately
  • Ensure that all workers’ compensation claims are reported and proper paperwork is completed, in the absence of the Community Manager.
  • Secure property by reporting security issues to Community and Regional Manager, respond to emergencies
  • Maintain records and ensure submit non-financial and HR related required reports to leadership as appropriate (daily, weekly, monthly)
  • Attend scheduled management meetings
  • Special projects and other duties as assigned
