Job Description

This Office of Reservations & Events provides strategic leadership and daily operational management support for the campus-wide reservations and event operations. This office schedules and supports events on-site, enforces University polices for the MU Student Center, Memorial Student Union, Reynolds Alumni Center, Old Alumni Center, Bond Life Sciences Center, NextGen, all outside spaces, Jesse Auditorium, and the Missouri Theatre; additionally, they complete event billing and fee collection for these spaces plus the MizzouRec Complex, MUPD, Technical Events Services (TES), and other service operations. Total events processed and/or billed by this office average 48,000 reservations annually for over $2,500,000 in revenue. This position also provides support for student development and customer service-based training.

Job Duties Include

  • Manage the operations of the campus-wide Reservations & Events Office. Provide clear and consistent communications throughout the development and execution. Negotiate contractual relationships with high-profile vendors to ensure timely and cost-effective implementation of projects. Manage event follow-up and debrief with high profile customers and staff. Provide excellent customer service to alumni, donors, faculty, staff, and friends of the school, and ensures the same of departmental staff.
  • Manage staff including event coverage/logistical scheduling ensuring appropriate coverage levels, training, performance management, delegating authority; and offering timely recognition for work well done. Maintain familiarity with and properly administer related HR & business policies and procedures. Set baseline or benchmark against industry standards to ensure reasonable goals, review processes, recommend and/or implement policies and procedures for efficient operations and conduct staffing/workload analysis.
  • Support the Event Operations Staff in the production schedule, and daily logistics for supporting events in the Office’s portfolio. Primary emphasis of work performed is supervisory and administrative but may include direct on-site event support. Develop methods, procedures, and standards for assigned areas of operations and ensure staff are trained emergency, accident, and incident protocols. Assign duties and areas of responsibility. Redirect staff as needed to accomplish daily, weekly, and monthly goals.
  • Manage the billing and accounts receivable function for Office of Reservations & Events supported buildings, services, and departments. Analyze and implement pricing structure/fees for rooms, services, packages and/or promotions, or user changes to reservations or commitments. Maintain working knowledge of university's customized accounting information system and university policies related to working with events. Explain policies and procedures to staff and clients. Prepare budgets, monitor expenses, and participate in marketing planning for the Office of Reservations & Events. Ensure high level of customer service and satisfaction is prioritized for staff and processes.
  • Have a general understanding of audio/visual technology utilized in meeting/event spaces as well as portable systems to support staff managing and utilizing systems. Evaluate and make recommendations for improvements, upgrades, and replacement systems. With direct reports, monitor conditions in physical spaces within the Office’s portfolio to notify building coordinators of new issues such as carpeting, furniture, A/V, damage or stains, HVAC, etc. Work with building coordinators to coordinate access, keys, emergency procedures training, among other partnership duties.

Reports to Interim Director – Office of Reservations & Events

Exercises supervision directly to 6 FTE and indirect supervision to ~40 part-time student employees

Shift

8 am – 5 pm with some evening and/or weekend hours

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

Experience with EMS Reservation Software, Social Tables, and/or 7 Point Ops.

Experience managing full time staff with high levels of satisfaction.

A background in venue management, hospitality, and/or operational logistics.

Strong knowledge with A/V systems, other event technical equipment.

Anticipated Hiring Range

Salary Range: $58,573-$75,000

Grade: GGS-011
