Responsibilities

TranSystems has an immediate opening for a Billing Specialist who serves as lead in the department and is responsible for a variety of billing activities, playing a critical role in ensuring invoicing is processed in a timely and accurate manner by managing their own accounts as well as training and assisting the billing staff. This position will coordinate with accounting and/or other departments to address questions/problems related to the A/R process.

General Responsibilities:

  • Coordinates and processes billing, including drafting, editing, and preparing pre-bills and final bills per client specifications and/or guidelines.
  • Reviews and verifies accuracy of billing and supporting documentation, as required.
  • Confirm rates and any fee arrangements are reflected for each individual matter.
  • Creates and prints/uploads final client billing.
  • Researches and responds to inquiries regarding billing issues and problems.
  • Ensures timely and accurate billing of client accounts to ensure contract compliance.
  • Proactively initiate customer contacts, provide invoice copies, update POs, documentation and other activities required to ensure payment on past due invoices.
  • Process billing adjustments and client discrepancies with a sense of urgency.
  • Maintain relationships with internal and external customers to drive efficiency in processes.
  • Assist in projects, process improvements, and other collection related tasks as identified by management.
  • Clarifies any questionable invoice items, prices, or receiving required approval signatures with the Project Manager.
  • Corrects errors or lists discrepancies for adjustment, including communication via phone and/or email with clients.
  • Perform other duties as assigned.
  • Performs effectively in a remote work environment.


Qualifications

What you bring to our firm:

  • High school diploma or equivalent experience required.
  • Prior 3 years of service coordination/billing experience required.
  • Costpoint experience preferred.
  • A high degree of accuracy and attention to detail while maintaining high productivity.
  • Extremely organized, detail-oriented, and deadline-sensitive.
  • Excellent communication skills
  • Self-motivated and maintain a positive teamwork-oriented attitude in a busy office environment.
  • Actively engages multiple perspectives when solving problems, seeks to learn from peers, and encourages reciprocal learning among team members.

For individuals assigned and/or hired to work in California, Colorado, or NY City, TranSystems is required by law to include a reasonable estimate of the compensation range for this role. This compensation range is specific to the State of California and takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; internal peer equity; licensure and certifications; and other business and organizational needs. The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. At TranSystems, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $50,000-$57,000 annually.
