Job Summary Description

This position will perform the duties of the Business Office Specialist; maintaining environmental control of the reception and waiting areas; overseeing the day-to-day operational functions for the HEA Surgery Center ensuring that office policies, procedures, and plans are executed in a smooth and expeditious manner. Key responsibilities include financial, office administrative duties, insurance administration, scheduling surgical cases, handle incoming schedule requests and paperwork required for surgery and is the communicator with clinical staff about surgical procedures.

Essential Duties And Responsibilities Other Duties May Be Assigned

Financial Responsibility

  • Receives, if applicable, patient co-pays.
  • Follows facility close-out policies and procedures for any revenue collected.
  • Responsible for daily deposits.

Administrative Duties

  • Greets patients and family. Provide patient care and maintain standards of courtesy and friendliness during visit to facility.
  • Patient check-in; assists with creating patient’s EMR.
  • Notifies appropriate nursing staff that patient is present after patient has completed paperwork.
  • Interacts with HEA Clinic personnel concerning insurance verification, compliance, billing/coding/accounts receivable.
  • Communicates with all doctor's secretaries with regard to their needs in scheduling patients and surgical packets.
  • Ensures EMR is available at patient check-in; assists with creating patient’s electronic chart, and the paper chart as needed.
  • Assists the Clinical Administrator and the leadership team with set-up and maintenance of the EMR, consent forms, creating and maintaining paper forms as needed.
  • Receives telephone calls for the facility; takes messages; routes calls appropriately.
  • Receives and distributes mail and/or special deliveries.
  • Assists with ordering office supplies.
  • Maintains responsible accountability for all business office equipment.
  • Ensures that pharmaceutical/equipment representatives have appropriate badges and do not interfere with patient care or confidentiality.
  • Prepares patient charts one day prior to patient’s appointment.
  • Performs according to compliance and other policies and procedures.
  • Performs other duties as assigned by the Clinical Administrator and/or the leadership team.

Scheduling Duties

  • Checks scheduling email fax box for incoming surgery paperwork.
  • Enters appointments in scheduling software.
  • Enters insurance data in scheduling software.
  • Creates chart packs in EMR system at the time of scheduling.
  • Sends schedule confirmations to doctor’s office staff.
  • Performs quality checks on medical records to ensure the record is complete before surgery.
  • Assists the surgery center leadership team in maintaining an efficient surgery schedule.
  • Other duties as assigned by surgery center leadership.

Education And Experience

  • High School diploma or equivalent.
  • Training in business office activities (required); medical / surgery center scheduling experience (preferred) with knowledge of managed-care issues.
  • Strong computer skills (EMR and scheduling software experience preferred).
  • The ability to multitask and handle high stress situations is required.
  • Basic knowledge of accounting procedures.
