Pivot Path Solutions is currently seeking an experienced and detail-oriented Contracts Administrator and Operational Support Specialist to join our team. This dual-role position is critical in managing both prime contracts and subcontracts, ensuring compliance with government regulations and company policies. Additionally, the role involves providing operational support to the Chief Operating Officer (COO), assisting in various administrative and strategic functions. The ideal candidate will have a strong background in government contracting, excellent negotiation skills, and the ability to manage complex contract agreements while supporting operational initiatives.This is a remote position, but candidates residing in the Washington, D.C. metro area are preferred.
Key Responsibilities:
Contracts Administration:
Prime Contract Management:
Prepare, review, and negotiate prime contracts with government agencies, ensuring adherence to federal regulations (FAR/DFARS) and company policies
Serve as the primary point of contact for prime contract-related communications with government agencies
Monitor contract performance, ensuring all deliverables and milestones are met
Maintain accurate and up-to-date contract documentation, including amendments, modifications, and correspondence
Conduct risk assessments and implement mitigation strategies to address contractual risks
Ensure timely and accurate submission of contract deliverables, reports, and invoices
Subcontract Management:
Develop, negotiate, and manage subcontracts with vendors and partners, ensuring compliance with prime contract requirements and company policies
Coordinate with internal teams to ensure subcontractor performance aligns with project goals and timelines
Monitor subcontractor performance, addressing any issues or disputes promptly
Maintain detailed records of subcontractor agreements, modifications, and performance evaluations
Conduct periodic reviews and audits of subcontractor compliance with contract terms and conditions
Facilitate effective communication between subcontractors and internal project teams
Operational Support:
Assist the COO in the development and implementation of operational policies and procedures to improve efficiency and effectiveness
Support the COO in planning, scheduling, and tracking strategic initiatives and projects
Coordinate logistics for company activities, including resource allocation, procurement, and inventory management
Generate and analyze operational reports, providing insights and recommendations for process improvements
Facilitate communication and collaboration across departments to ensure alignment with organizational goals
Assist in the preparation of proposals and presentations for new business opportunities
Provide administrative support to the COO, including scheduling meetings, preparing documents, and handling correspondence
Qualifications:
Bachelor’s degree in Business Administration, Contract Management, or a related field
Minimum of 3-5 years of experience in contracts administration, with a focus on government contracting
In-depth knowledge of federal contracting regulations (FAR/DFARS) and compliance requirements
Proven experience in managing prime contracts and subcontracts
Excellent negotiation, communication, and interpersonal skills
Strong organizational and multitasking abilities, with attention to detail
Proficiency in contract management software and Microsoft Office Suite (Word, Excel, PowerPoint)
Preferred Qualifications:
Certification in Contract Management (CPCM, CFCM) or equivalent
Experience with government procurement processes and proposal development
Familiarity with project management methodologies and tools (e.g., PMP, Agile)
Prior experience in an operational support role
