Reviews and processes electronic and paper filings for Probate cases. Provides efficient and effective professional service to customers, both in person and on the phone.

Essential Duties And Responsibilities

  • Provides administrative support by maintaining court cases that includes filing documents in a chronological sequence within the Probate Office and the File Center.
  • Provides assistance for incoming phone inquiries as well as walk-in customers. Provides procedural information relating to Probate filings by routinely answering questions via telephone and personal contact with customer.
  • Receives original wills for filing within Probate cases and scans document on the case management system, which requires disassembling and reassembling the wills established by court instructions.
  • Prepares plain, certified, and exemplified copies.
  • Assists or instructs attorneys, title companies, and the general public in usage of computer searches and viewing documents through the electronic case management system.
  • Prepares legal letters of administration for probate cases and guardianship cases.
  • Accurately enters and updates information in case management system.
  • Assists attorneys and customers returning from court hearings by processing legal instruments, issuing letters of administration and testamentary, and providing certified copies.
  • Processes name searches, verifies and creates clerk's certificate for mail response, and maintains a spreadsheet for these requests.
  • Responsible for cash drawer, collection of fees, and issuing receipts. Processes online credit card payments and credit card payments made by customers within the office. Reconciles daily till.
  • Maintains a mail out log for customer inquiry purposes.
  • Accepts electronic and paper filings for existing cases as time allows including reviewing, processing, and filing documents.
  • Collects fees and processes claims from creditors on decedents' estates.
  • Establishes attorney accounts for Secure Attorney Access.
  • Performs runner duties by picking up internal mail and delivering mail to other departments and elected officials.
  • Performs all other duties as assigned.

Minimum Requirements

NOTE: You must fill out the work history and education sections of application to show you have years of experience/education as required by hiring department or be disqualified.

  • High school diploma or equivalent.
  • Must have a minimum of one (1) full-time year of clerical experience.
  • Must be familiar with the use of a desktop computer and be proficient in data entry, keyboarding, numerical filing systems, navigating computer applications, and using general office equipment.
  • Must exhibit good communication skills, follow written and oral instructions, and work well with others.
  • Must be bondable.

If hired, must provide proof of educational attainment at new hire processing.

Tarrant County will conduct background checks on new hires that will include a criminal background check related to convictions and deferred adjudication in the past seven years and may include credit reports, motor vehicle records, employment records and educational attainment. A conviction or deferred adjudication is not an automatic bar to employment. Each case is considered individually.

While performing the duties of this position, the incumbent is regularly required to bend, carry, climb stairs, grasp/squeeze, hear, keyboard, kneel, lift below the waist, lift between waist and shoulder, lift overhead, lift to the side/twist, tolerate noise, pull, push, reach, reach overhead, perform repetitive tasks, see color, see far and near, sit, squat, stand, stoop, talk, twist, use his/her hands, walk, work with others, and work overtime.
