Executive Assistant

Provide comprehensive executive-level support to a group of C Level Executives. The Executive Assistant will handle a wide range of administrative and executive support-related tasks. This role requires the highest degree of confidentiality and judgment. We are seeking a candidate who has demonstrated a passion for the Executive Assistant role.

Responsibilities

  • Act as the point of contact among executives, employees, clients and other external partners.
  • Proactively manage a group of Executives complex and ever-changing calendar (resolving conflicts, securing materials, etc.) while anticipating the Executive Team's needs.
  • Work closely with a group of Executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Organize and prioritize large volumes of emails, calls, and requests to determine what information requires a group of Executives immediate attention.
  • Ensure leader stay on time and meets daily commitments. Anticipate potential scheduling conflicts and work with other team members to assess priorities and determine solutions members to assess priorities and determine solutions.
  • Read, screen, refer and respond to leader’s incoming email, and followed up on responses
  • Act as a "barometer," having a sense for the issues taking place within the organization, keeping a group of Executives updated.
  • Plan and coordinate meetings (on and off-site) and dinners.
  • Coordinate all travel arrangements for airline, hotel and ground transportation as needed. Create travel itineraries, making changes before and during trips as needed. Compile documents for travel-related meetings.
  • Coordinate board related administrative items (disseminating materials, scheduling, taking notes, etc..)
  • Prepare and edit correspondence, communications, presentations and other documents. Strong command of proper English grammar is expected.
  • Manage, track and process all expenses.

Requirements

  • Minimum of 7 years in similar capacity roles supporting C-level executives.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Effective communication skills, both written and verbal, with the ability to express ideas, problems, and solutions with clarity.
  • Forward-looking thinker, who actively seeks opportunities and proposes solutions.
  • Able to be in the Chicago office 3 - 4 days per week.
  • College degree or equivalent work experience.
