**CONTRACT POSITION**
About The Markets and Macro Business
Global Markets at B- is a full-service business providing sales and trading services to clients in primary and secondary markets across fixed income, currency, and equity products. The Global Markets Business enables our clients to buy and sell financial instruments, raise funding, and manage risk.
Macro is a part of the Global Markets Business and consists of roughly 700 team members located in major financial centres across the globe – e.g. New York, London, Tokyo, Singapore, etc. The Macro business provides liquidity to customers seeking to transact interest rate and foreign exchange trades in both cash and derivative markets.
Overall Purpose of The Role
The Executive Assistant (EA) position in question will be based in New York City and will be part of a larger US Macro EA team consisting of roughly 6 EAs. The primary responsibility of the role will be providing administrative support to the US FX & Emerging Market business. In addition to this core responsibility the role will also back-up coverage for the other members of the EA team in relation to vacations/absences/etc.
Key Accountabilities
Diary management, incl. requesting and organising meetings, conference calls, video conferences
Booking meeting rooms/hospitality/VC facilities
Liaising both internally and externally via email and telephone with other EA’s
Booking travel and arranging all logistics in association with any travel
Extensive scheduling of client meetings, ensuring communicating to all involved regarding logistics etc.
Tracking of acceptances and declines for internal meetings and taking necessary follow up steps
Processing of all expenses both credit card and cash receipts within the T&E guidelines and deadlines
Onboarding new team members, including arrangement of equipment and phone installation, and access to various software applications
Management of team distributions lists on behalf of team
Take ownership of tasks and see through to conclusion
Risk and Control Objective
Establish an effective working relationship with business partners
Ensure all activities and duties are carried out in full compliance with regulatory requirements, Enterprise Risk Management Framework, and internal B- Policies and Policy Standards
Act as role model, driving and embedding the Group wide conduct agenda for the business
Takes personal accountability for ensuring that processes and controls are applied in way that achieves a good outcome for the bank and its customers/clients.
Essential Skills/Basic Qualifications:
Minimum 5 years’ experience as an Executive Assistant (or similar function)
Experience working with senior level executives in a corporate setting
Available to work from 8:30 a.m. to 5:30 p.m. and available to provide assistance on off-hours as needed
Experience with travel, expenses, organizing meetings
Solid interpersonal skills
Excellent written and verbal communications skills
Organized, with excellent time management skills and ability to work to deadlines
Ability to manage and prioritize tasks with a strong attention to detail
Computer skills (Outlook, Excel, Word, PowerPoint)
