Our team of experts has many years of experience in the life sciences industry and the consulting space. We are looking for an Executive Assistant to join our team of 80+ professionals located in Arlington, VA, Cambridge, MA, Switzerland, and Delhi, India. This position reports to the CEO and is based out of the Arlington, VA office.

Responsibilities

As Executive Assistant, you will work in a fast-paced environment with our colleagues in each of our three locations. This full-time position reports to the CEO


  • Perform daily administrative duties such as answering company phone, calendar management, scheduling travel, and managing internal and external correspondence
  • Prepare and process expense reports
  • Meeting/event planning, including coordination of logistics for client meetings and internal company meetings
  • Acts as a liaison for remote access/IT issues
  • Coordinates and maintains company files in compliance with corporate and government regulations
  • Coordinates new employee office set-ups and onboarding, including ordering and shipment of computers and IT setup
  • Manages ad-hoc projects/administrative duties as requested


Qualifications


  • 3 - 5 years previous admin experience or equivalent
  • High school diploma required; associates or bachelor’s degree preferred
  • Operates independently and works on own initiative
  • Ability to collaborate with colleagues in global locations
  • Ability to handle multiple projects simultaneously and work under tight deadlines, with a keen attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Powerpoint), Adobe Acrobat, Outlook and virtual meeting applications (Microsoft Teams, Zoom, WebEx)
  • Ability to work in the Arlington, VA office 4 days/week
