Manage and coordinate complex scheduling and calendar management for senior executives, including across multiple time zones.
Maintain meticulous organizational systems on SharePoint for document management.
Draft and prepare communications, including emails, formal letters, and presentations.
Coordinate detailed travel arrangements for both domestic and international itineraries.
Develop and oversee expense reports and manage purchasing processes in collaboration with the finance team.
Act as a point of contact and liaise effectively with global stakeholders.
Undertake special projects and research tasks as needed to support executive decision-making.
Perform other administrative tasks as assigned to support the executive team.
Minimum Requirements
At least 10 years of executive assistant experience, with a minimum of 5 years supporting C-level executives.
Prior experience in the biotechnology or pharmaceutical industry is highly desirable.
Exceptional interpersonal and communication skills, capable of effectively interacting with all levels of organizational staff and external stakeholders.
Proven ability to manage complex schedules and sensitive information with high attention to detail and confidentiality.
Strong proficiency in Microsoft Office, particularly Word and PowerPoint.
Demonstrated ability to work flexibly and efficiently, managing ambiguous tasks and projects.
Excellent organizational skills, with a proactive approach to problem-solving and managing executive workloads.
Resilience and the ability to maintain professionalism under pressure, meeting high expectations and tight deadlines.
