Our client, an asset manager, is seeking a sharp and proactive Executive/Operations Assistant. The ideal candidate will have previous experience out of financial services and have working knowledge of QuickBooks. This person should have a high EQ and a good attitude.

POSITION: Executive/Operations Assistant
LOCATION: New York, NY (HYBRID in office Monday-Wednesday)
HOURS: 8:30am-4:30pm with flexibility outside of working hours
COMPENSATION: $75-85K DOE + Discretionary Bonus + Benefits
BACHELOR’S DEGREE: Preferred but not required
Responsibilities of the Executive/Operations Assistant:
-Monitor daily and weekly business/personal schedules of managing principals.
-Arrange domestic/international travel, hotel and transportation needs.
-Handle daily business transactions such as, preparing expense reports, managing invoices/ processing payments and handling financial documentation.
-Review employee credit card activity, reconcile monthly statements, and record activity into accounting system.
-Assist with personal tasks and errands such as, reservations, property management, vendor communication and household coordination.
-Screen and direct phone calls and distribute correspondence.
-Source office supplies.
-Maintain filing system.
-Approve timesheets for temps, assist in management of support program (Commuter Benefits, FSA)
-Manage yearly subscriptions for the firm/ managing principals.
-Assist with annual audit process.
-Record all check deposits into the account system accurately and file all copies and receipts.
-Maintain W-9 documentation for independent contractors.
-Review vendor statements and answer vendor inquiries.
Requirements of the Executive/Operations Assistant:
-2-3 years of experience within financial services.
-Excellent MS Office knowledge.
-Knowledge of QuickBooks is a plus.
-4 Year College Degree a plus but not required.
-Strong attention to detail.
-Excellent interpersonal skills, positive attitude, and high energy level.
-Excellent verbal and written communication skills.
-Verification of identity, education, prior employment, and references may be required.
