Executive Operations Assistant - Entry-Level

Responsibilities

  • Review documents, reports, and correspondence prepared for executive signature for format, content, grammar, and spelling and make edits as necessary.
  • Support Executives with scheduling and preparing for meetings.
  • Maintain calendars of executive management.
  • Produce and distribute correspondence emails.
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Submit and reconcile expense reports accurately.
  • Handle multiple projects simultaneously.
  • Establish and manage filing systems, both electronic and physical.
  • Facilitate communication between internal and external stakeholders.
  • Work closely with the CFO on special projects.

Requirements

  • Demonstrated experience in administrative or assistant roles is preferred.
  • Possess time management abilities with a capacity for multitasking and prioritizing tasks effectively.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning abilities.
  • A Bachelor’s degree is preferred.
  • Proficiency in MS Office is required - specifically Excel and Word.
  • Maintain confidentiality, and professionally interact with employees, management and others at all times.
