A financial services company is looking for an experienced Executive Sales Assistant to provide professional support to the Founder/Head of Sales. This take-charge individual should have strong experience in executive support at a senior level, polished communication skills, exceptional attention to detail, good judgment, business savvy and the ability to manage within a dynamic environment, with constantly evolving priorities.
Uniquely, we are seeking a sales-minded person. Specialized duties include CRM management, research, and project management are important aspects of this role.
Responsibilities:
· Complex calendar management: set appointments, prioritize & juggle appointments in the moment. Must be able to independently identify and resolve issues with calendar and schedule. Able to proactively anticipate sequencing of meetings.
· Complete CRM management for all leads, clients, and related matters.
· Sales lead research to help generate new opportunities for the business.
· Complex email management and communications
· Private aviation management; maintaining a level of excellence in coordination. Complex domestic and international travel itinerary coordination.
· Exercise sound judgment and discretion in handling confidential and sensitive information
· Meeting/event preparation, set-up and follow-up, including presentation proofing and edits
· Attend meetings as required, take minutes, and ensure action item follow-up
· Prepare expense reports, and approve direct reports expenses
· Coordinate, prepare for and support meetings, both telephone and in-person
· Special projects as requested (adhoc tasks)
· Assist in all personal matters including acting as liaison with family members, taking care of estate related needs, and more.
· Must be able to work flexible hours which includes mindfulness during evenings and weekends
Qualifications
· 5+ years executive assistant experience
· CRM Management experience
· Excellent Excel skills
· Proactive personality
· Must have experience supporting a C-level executive
· Ability to travel once a month for a few days at a time, with planned notice
· Able to handle sensitive business communications, data and other information with professionalism, confidentiality and discretion, both internally with employees and externally with clients and candidates
· Exceptional organizational and multi-tasking skills
· Outstanding verbal, written and interpersonal communication skills
· Maturity, solid judgment and the ability to interact with confidence with executive management
· Excellent working knowledge of Microsoft Office suite
