Food Contract Assistant

Primary Purpose

  • Deliver clerical and administrative support across internal and external functions of the Choice Partners cooperative. This hybrid role includes overseeing billing for food vendors within the Choice Partners program. Flexibility in project management and task execution is essential for this position.

Qualifications

Education/Certification:

  • High school diploma or GED certificate
  • Bachelor’s degree from an accredited university preferred

Special Knowledge/Skills

  • Knowledge of office procedures and practices.
  • Ability to maintain accurate and auditable records.
  • Ability to type and keyboard by touch at a minimum of 50 words per minute.
  • Ability to communicate effectively (verbal and written) using proper English grammar.
  • Ability to effectively utilize computers and software including Microsoft Office applications, Adobe and other software required by the division.
  • Ability to work with numbers in an accurate and rapid manner.
  • Ability to organize, prioritize and meet established deadlines, and to handle multiple tasks.
  • Ability to positively interact with members and vendors in all situations.

Experience

  • Two years purchasing experience preferable in child nutrition or a school food service environment

Major Responsibilities And Duties

  • Organize and prioritize duties and assignments to ensure timely completion of assignments.
  • Provide member/vendor support via phone and email
  • Communicate information and share documents to members and vendors as requested
  • Approve user registration and assistance on the Choice Partners website.
  • Perform and manage all clerical administrative duties as assigned such as P-Card reconciliation, travel planning and maintain food member database by processing participation agreements.
  • Organize and prioritize duties and assignments to ensure timely completion.
  • Create contract administrative fee invoices, following up on outstanding receivables, report pertinent changes in vendor information to appropriate Choice Partners staff .
  • Reconcile vendor and member reported usage in quarterly for the Choice Cash Rebate Program.
  • Assist Food Service personnel with the organization and implementation of the annual nutrition and product exposition and other events such as workshops and meetings.
  • Provide excellent customer service to all parties including members, vendors and other HCDE staff
  • Support Assistant Director - Food, Food Contract Manager, and Food Contract Coordinator as assigned.
  • Perform other duties as assigned.
  • Maintain confidentiality.
  • Maintain a positive attitude and a neat and professional appearance that exemplifies confidence and professionalism.
