The Human Resources Assistant provides support in various day-to-day operations of the US-HR department including assisting in the coordination of various office functions, employee relations and daily processing of personnel changes. Provides support to the U.S. HR, Recruiting, Benefits, Payroll and HRIS teams.
Responsibilities
Essential Functions:
Accounts for the filing and maintenance of HR records to include, U.S. employee and attorney information. Maintains administrative files as well as files containing frequently-used forms and documents
Provide routine support and update templates related to leaves of absence, separations, reclassifications, employment verification, and personnel file records
Conducts audits of all files in accordance with the Firm’s retention policy and coordinates annual process of shipping documents to offsite storage
Serves as back-up for conducting H.R. portion of New Hire Orientation as needed
Runs queries reports from PeopleSoft as needed
Maintains tracking logs (NY bar admissions, mentoring, onboarding & departures), record keeping, and various other employee inquiries
Primary contact and accounts for the completion of staff and attorney employment verifications
Assists in the coordination and execution of all New York HR related employee events including but not limited to providing on-the-ground support to other HR professional when trainings, events, etc. are hosted out of NY office including arrangements with speakers, communications, RSVP process, calendar maintenance, and working with the conference services team on space, A/V, catering, materials, and other required logistics
Acts as site publisher for New York business services and attorney anniversary announcements
Processes bereavement checks, flower deliveries as well as corresponding GlobalNet announcement submission for same
Acts as first line handling of the itemization and shipping of former employee personal items as needed
Assists with placements of temporary staffing orders with various agencies and handles corresponding Temporary Hire Orientation
Coordinate in conjunction with the HR Specialist and HR Coordinator the onboarding processes for lateral attorneys and business services staff including but not limited to: coordinating and processing new hire paperwork and orientation schedules, and coordinating with Benefits, Payroll, IT, Facilities and other internal departments on arrivals
Prepares and maintains NYO headcount, attorney & business services arrival/departure chart, related reporting, and new hire announcements circulated to New York office
Work with Attorney Personnel and US Staff Personnel on PeopleSoft updates related to new hires, status changes, and other work flows
Assist in the annual evaluation process
Assist with departing attorneys process
Handles data entry, administration, and reporting for HR team
Supports survey initiatives including Vault, Chambers, and AmLaw surveys
Completes HR team expenses and tracking
Performs other duties as assigned or required to meet Firm goals and objectives
Qualifications
Education/Training/Certifications:
Bachelor’s degree in a related field. An equivalent combination of education and/or experience may be considered in lieu of the degree when the experience has been directly related to the functions of the job
Professional Experience
Minimum of two years of previous administrative experience, required
Prior general Human Resources experience, preferred
Technical Skills
Proficiency in Microsoft Office products, required
Proficiency in Microsoft Teams, Webex and Zoom platforms
Knowledge of HRIS database packages, preferred
PeopleSoft experience, preferred
Performance Traits
Strong written and verbal communication skills, able to communicate effectively and in a professional manner with all levels of the Firm and outside vendors
Ability to work in a diverse team environment and effectively support the demanding needs of the Firm
Ability to work under pressure, meet deadlines with shifting priorities
Must be a self-starter with a high level of initiative
Strong customer service skills, able to anticipate needs

Physical Requirements
May require occasional lifting of up to 20 lbs.
The typical New York pay scale for this position is between $59,300 and $68,200, although the actual wage or salary could be lower or higher if the candidate’s education, experience, skills and internal pay alignment are different from those specified.
