The ideal candidate will …
Provide general administrative support, such as photocopying, scanning, and filing documents, handle incoming and outgoing mail and packages,
Provide legal operational support to Managing Attorney, including office management tasks such as conducting weekly inventory for supplies, etc., business development efforts, and other tasks as instructed
Prepare documents and emails for attorney review, including letters, forms, and spreadsheets, etc.
Proofread documents and emails for accuracy
Prioritize assignments and preparing sensitive and detailed correspondence, such as responses to requests for information, reporting developments on file to clients, from rough draft or dictation
Input data into law firm software such as legal deadlines;
Provide billing support to include time-entry, data review and correction, final submission to meet all Firm-required deadlines, maintenance of billing records, input expenses into legal billing software, process invoices and expense reports, and research of disputes and discrepancies
Coordinating monthly pre-bills and necessary revisions
Manage and coordinate logistics for meetings or events
Scheduling appointments, making travel and/or meeting arrangements, and maintaining business calendars as instructed; keeping timekeepers on schedule to meet Firm-wide and practice group specific deadlines
Specific projects, such as document production and retention, online research, compliance with security protocols for sensitive client information, etc.
Maintain confidentiality and handling sensitive information with discretion;
Be proactive, resourceful, and adaptable to handle unexpected tasks and challenges
Requirements
Education, Experience, And Skills Required:
College degree or equivalent required
1-2+ years administrative experience working in a law firm or professional services organization (preferred)
Expert proficiency with the MS Office (Word, Excel, PowerPoint and Outlook) applications. This includes ability to proof and edit (using edit marks) non-routine correspondence, reports and tables for typographical (spelling and grammar) errors, and sentence structure
Strong organizational skills that reflect ability to seamlessly perform and prioritize multiple tasks with excellent attention to detail
Strong interpersonal skills and the ability to build relationships with staff and clients
Must demonstrate professionalism, confidentiality, organizational skills, and the ability to be proactive.
Executes work with a high degree of precision and accuracy
Proactive approach to problem-solving and strong decision-making capability
Strong written and verbal communication skills
Strong organizational and judgment skills
Ability to work under tight deadlines and prioritize responsibilities
Ability to learn new concepts and skills quickly
Compensation
$20 -$26 / hr - commensurate with experience
