Legal Support--Administrative Assistant

The ideal candidate will …

  • Provide general administrative support, such as photocopying, scanning, and filing documents, handle incoming and outgoing mail and packages,
  • Provide legal operational support to Managing Attorney, including office management tasks such as conducting weekly inventory for supplies, etc., business development efforts, and other tasks as instructed
  • Prepare documents and emails for attorney review, including letters, forms, and spreadsheets, etc.
  • Proofread documents and emails for accuracy
  • Prioritize assignments and preparing sensitive and detailed correspondence, such as responses to requests for information, reporting developments on file to clients, from rough draft or dictation
  • Input data into law firm software such as legal deadlines;
  • Provide billing support to include time-entry, data review and correction, final submission to meet all Firm-required deadlines, maintenance of billing records, input expenses into legal billing software, process invoices and expense reports, and research of disputes and discrepancies
  • Coordinating monthly pre-bills and necessary revisions
  • Manage and coordinate logistics for meetings or events
  • Scheduling appointments, making travel and/or meeting arrangements, and maintaining business calendars as instructed; keeping timekeepers on schedule to meet Firm-wide and practice group specific deadlines
  • Specific projects, such as document production and retention, online research, compliance with security protocols for sensitive client information, etc.
  • Maintain confidentiality and handling sensitive information with discretion;
  • Be proactive, resourceful, and adaptable to handle unexpected tasks and challenges

Requirements

Education, Experience, And Skills Required:

  • College degree or equivalent required
  • 1-2+ years administrative experience working in a law firm or professional services organization (preferred)
  • Expert proficiency with the MS Office (Word, Excel, PowerPoint and Outlook) applications. This includes ability to proof and edit (using edit marks) non-routine correspondence, reports and tables for typographical (spelling and grammar) errors, and sentence structure
  • Strong organizational skills that reflect ability to seamlessly perform and prioritize multiple tasks with excellent attention to detail
  • Strong interpersonal skills and the ability to build relationships with staff and clients
  • Must demonstrate professionalism, confidentiality, organizational skills, and the ability to be proactive.
  • Executes work with a high degree of precision and accuracy
  • Proactive approach to problem-solving and strong decision-making capability
  • Strong written and verbal communication skills
  • Strong organizational and judgment skills
  • Ability to work under tight deadlines and prioritize responsibilities
  • Ability to learn new concepts and skills quickly

Compensation

$20 -$26 / hr - commensurate with experience
