POSITION SUMMARY

We are seeking a Managing Executive Assistant/Operations Manager to provide high-level administrative support to our executive team and oversee a team of administrative and executive assistants. This role will serve as the point of contact for one of the founders in Reno and work with the founder and conference producers to expand global events and conferences. This position demands exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The Managing Executive Assistant/Operations Manager will be a proactive problem solver with strong leadership and communication skills, capable of ensuring efficient operations and effective time management.


Key Responsibilities:


Team Leadership and Management:

  • Lead, mentor, and manage a team of administrative and executive assistants, ensuring high performance and professional development.
  • Delegate tasks and responsibilities, providing guidance and support to ensure timely and accurate completion.


Executive Support:

  • Manage and maintain executives’ schedules, including arranging meetings, appointments, and travel itineraries.
  • Handle incoming and outgoing communications on behalf of the executives.
  • Coordinate and follow up on project timelines and deliverables.
  • Serve as a point of contact for one of the founders working with conference producers to execute global conferences and events.


Meeting Coordination:

  • Organize and coordinate meetings, conferences, and events.
  • Prepare meeting agendas, take minutes, and distribute follow-up action items.
  • Ensure meeting rooms are prepared and equipped with necessary materials and technology.


Travel Arrangements:

  • Arrange domestic and international travel, including flights, accommodations, and transportation.
  • Prepare detailed travel itineraries and ensure executives have all necessary travel documents.


Logistics Management:

  • Maintain an organized filing system for paper and electronic documents.
  • Order office supplies and manage inventory.
  • Liaise with vendors, contractors, and service providers as needed.


Operations Management:

  • Oversee daily operations to ensure efficiency and productivity.
  • Implement and improve operational processes and procedures.
  • Monitor and manage budgets and expenses.
  • Coordinate with different departments to streamline operations and improve workflow.


Special Projects:

  • Assist with special projects and initiatives as required.
  • Conduct research and compile data to support executive decision-making.


Confidentiality:

  • Handle sensitive information with the highest level of confidentiality and professionalism.
  • Ensure compliance with company policies and procedures.


Qualifications:

  • Bachelor’s degree in Business Administration or related field preferred.
  • Minimum of 5 years of experience in an executive assistant or similar role and preferably with a management role before.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Exceptional organizational and time management skills.
  • Strong verbal and written communication skills.
  • Ability to work independently and prioritize tasks effectively.
  • High level of discretion and confidentiality.
  • Excellent interpersonal skills and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.

  • This is a full-time position with competitive compensation and benefits.
  • Occasional overtime and flexibility in working hours may be required.
  • The role may require occasional travel.
