Health tech company is looking for an Office Manager/Executive Assistant to support the Office of the CEO. This is a great opportunity to join a collaborative, mission-driven team! You will partner with the Chief of Staff to provide scheduling support to coordinate meetings as well as manage travel arrangements and submit expenses. Additionally, you will manage and maintain the office, act as a receptionist to greet visitors and employees into their space, and coordinate with building management. Someone with polish, concise communication, adaptable to shifting changes both daily schedule and in the organization, and thrives in a fast-paced environment. This is an in-person role based in New York in NoMad. 110-120K+ DOE + benefits, 401k, and unlimited PTO!
Responsibilities:
- Provide daily administrative and office support to the Office of the CEO and other leadership members and team as needed.
- Coordinate and schedule meetings with internal and external stakeholders. Working with the Chief of Staff to ensure the CEO's calendar reflects priorities. Be able to shift schedule quickly with last-minute changes.
- Manage scheduling with the board, ensuring polished interactions and seamless coordination.
- Arrange travel and accommodations. Create detailed itineraries to ensure seamless travel.
- Submit all expense reports and receipts.
- Welcome visitors and employees. Working with building management to ensure visitors are on the security list for entrance.
- Organize and update electronic files as needed.
- Manage office space. Ensuring office is maintained, conference room is set up and supplies and snacks are stocked.
- Be on the ground to support vendors and maintenance.
Qualifications:
- 2-4 years experience as an Executive or Administrative Assistant or similar role, ideally in a fast-paced environment.
- Polished communication skills - both verbal and written. Comfortable interacting with highly confidential matters and high-level stakeholders.
- Adaptable. Ability to intuitively shift gears quickly as priorities change.
- Strong organizational skills with great attention to detail.
- Proactive approach to managing tasks and responsibilities; excel at anticipating needs.
- Excellent follow-through. Ability to keep the pieces moving and not let anything fall through the cracks.
- Inherently focused on creative approaches to solving operational problems efficiently.
- Tech savvy (Proficient in Microsoft, Outlook, GSuite, Docs). Ability to learn tools quickly.
