Position Overview
We're seeking a dynamic and detail-oriented Staff Assistant to join our team supporting the National Institute on Minority Health and Health Disparities (NIMHD) at the NIH in Bethesda, MD. This role offers an exciting opportunity to contribute to important research initiatives while developing your administrative and organizational skills.
Key Responsibilities
Administrative Support:
Manage daily calendars, schedule appointments, and arrange conferences/meetings
Coordinate travel arrangements for staff and meeting participants
Prepare and process various administrative documents and forms
Assist with human resources activities and maintain personnel records
Communication and Document Management:
Draft, edit, and proofread correspondence, reports, and presentations
Manage filing systems and maintain accurate records
Update and develop content for websites and internal communications
Financial and Procurement Support:
Assist with budget tracking and expense reconciliation
Process purchase requests and maintain inventory records
Coordinate with vendors and manage office supplies
Meeting and Event Coordination:
Plan and execute meetings, including logistical arrangements and follow-up
Facilitate the IC Council meetings (3 times per year)
Prepare agendas, materials, and minutes for various meetings
Data Management and Analysis:
Develop and maintain databases and spreadsheets
Compile and analyze data for reports and presentations
Assist with tracking project status and deadlines
Policy and Procedure Support:
Maintain and update Standard Operating Procedures (SOPs)
Stay informed about relevant policies and regulations
Provide guidance to staff on administrative procedures
Qualifications
Bachelor's degree required
Minimum of 10 years of related experience; NIH experience preferred
Proficiency in Microsoft Office suite, SharePoint, and other relevant software
Strong organizational and multi-tasking skills
Excellent written and verbal communication abilities
Attention to detail and ability to manage confidential information
Adaptability and willingness to learn new systems and processes
