Exciting Opportunity for a Systems Administrator in Conventions

Are you passionate about playing a pivotal role in supporting the economic growth and cultural vibrancy of a thriving city? We are seeking an experienced Systems Administrator to join our dynamic and award-winning Conventions team, dedicated to showcasing our city as a premier destination for meetings and conventions.

In this critical position, you will serve as our CRM administrator, leading internal team and external partner training, managing lead assignments, data needs, standards compliance, and providing essential monthly and ad-hoc reporting and analysis. Collaborating closely with senior leadership in the Conventions department, you will help maintain critical data, maximize automation and processes, liaise with industry organizations, manage the Convention team Coordinators, and actively contribute to our diversity, equity, and inclusion efforts.

Key Responsibilities

  • Data Management and Tracking Production:
  • Collaborate with senior sales leadership to support sales strategies and goals by managing and tracking production data.
  • Client Information Management:
  • Act as a dedicated liaison to the Conventions team, assisting them in maintaining their client database through best practices in data management, report generation, data audits, and system upgrades for increased operational efficiency.
  • CRM Administration:
  • Spearhead CRM administration, specifically the convention sales module, in coordination with the Sr. Director of Systems and Operations.
  • Maintain data integrity in the system and records.
  • Facilitate software training and make system enhancements.
  • Assist partners in utilizing the Extranet and ensure economic impact calculations are precise.
  • Convention Center CRM and Calendar Management:
  • Participate in Daily Business Review meetings, input space holds, and manage the calendar software as directed.
  • Release space holds as necessary.
  • Input and maintain space holds in the Convention Center calendar.
  • Data Reporting and Tracking:
  • Create and enhance data reporting and tracking, utilizing systems like Symphony, PowerPoint, Digideck, and more.
  • Prepare and distribute monthly convention sales booking reports.
  • Prepare reports for monthly board meetings and provide ad hoc reports as requested.
  • Manage MINT reporting and assist in analysis.
  • Become the team expert in Symphony.
  • Supervision and Team Leadership:
  • Supervise Conventions Coordinators, advocating for their success and ensuring efficiency.
  • Maintain procedural consistency and standards for client-ready documentation.
  • Manage leave, remote work, and schedule adjustment requests.
  • Lead the Performance Appraisal processes and conduct new hire training.
  • Provide CRM and process training for new Conventions team members.
  • Lead Management:
  • Verify and assign incoming leads.
  • Audit and approve outgoing leads, definite bookings, lost business, and updates.
  • Manage overflow bookings and liaise with external vendors to support the Conventions team.

Qualifications

  • Preferred education: Business-related degree (e.g., business admin, analytics, information systems, or hospitality).
  • Preferred work experience: Hospitality background, 3+ years in business info systems/CRM, 3+ years of supervisory experience.
  • Key technical skills: Proficient in various software, data management, CRM (Simpleview CRM), data visualization (Symphony, PowerPoint, Digideck), and economic impact calculations.
  • Strong communication skills: Verbal and written, adept at documentation and feedback.
  • Ability to speak, read, write, and understand English, the primary language used in the office.
  • Desired personal qualities: Positive attitude, self-motivation, service-oriented, teamwork, effective time management.
  • Must be authorized to work in the United States.
  • Must be fully vaccinated against COVID-19.
