About The Operations Team
Currently led by our Operations & Finance Advisor, in collaboration with our Partner, Client Services and Founder & CEO, the Operations Team is responsible for:
maintaining Contigo Ed’s administrative systems and organizational infrastructure running smoothly and efficiently;
overseeing financial operations;
ensuring compliance with all legal and regulatory requirements;
developing and Implementing people operations policies and procedures; and
leading special projects as requested by various stakeholders
Position Summary
The charge for the Operations Support Manager is to support all operations functions including HR, finance, program, and communications. This position reports directly to the Partner, Client Services. This is a full-time, remote-based position with an expectation of 15-20% travel time.
Primary Responsibilities
Operations Support (~30%):
Support in the development, maintenance, and implementation of operational policies and procedures
Identify processes to improve organizational efficiency, including implementation of new technologies and resources
Manage consultant contracts, prepare new agreements, obtain appropriate tax forms from consultants, and oversee the collection of contract signatures
People/HR operations support, including, but not limited to employee handbook updates, coordinating and assisting with the hiring process, onboarding and offboarding of employees, performance review process management, and employee benefits management.
Ensure compliance with relevant laws, regulations, and policies governing nonprofit organizations, including tax-exempt status, charitable solicitation, and governance best practices
Manage IT needs, including hardware and software purchasing and deployment.
Oversee all other day-to-day operations
Program Support (Strategic Consulting and Professional Learning) (~30%):
Provide ongoing support for assigned Strategic Consulting projects in the form of document preparation, presentation/meeting support, resource curation, calendaring and scheduling, etc.
Retreat planning and special events (e.g., Summer Institute, etc.) coordination.
Assist with all operational and logistical planning for live workshops, including but not limited to:
(in-person) Secure and confirm event location(s), send and monitor event registration, maintain communication with organizations/institutions, order food, order and prep all materials like handouts and folders, run all operations the day-of
(virtual) Set up delivery platform, send registration, maintain communication with organizations/institutions, design engagement techniques in platform, run all operations the day-of
Finance Support (~25%):
Oversee accounts payable and accounts receivable operations
Support grants management, including tracking and reporting
Manage expense reporting functions
Assist with annual audits and 990 preparations
Provide support for the annual budget development process, including financial analyses
Work closely with noted finance, accounting, and tax vendors to ensure compliance with regulations and internal policies
Communications Support (~10%):
Prepare and send monthly Contigo Ed newsletter using content from the master content calendar (i.e., College Greenlight, TxCAN, etc.)
Schedule social media posts from master content calendar using Buffer, including tagging Contigo Ed in social posts.
Canva design and editing
Update all on-demand Professional Learning content (every summer)
Other duties as assigned (~5%):
Assume other duties as may be assigned by the Partner, Client Services
Qualifications And Skills / Experiences
Minimum of 3 years of experience supporting nonprofit organizations with operations and/or finance functions
Highly effective interpersonal presentation, communication, collaboration, and writing skills
Ability to coordinate with, collaborate with, and manage internally, multiple team members’ needs and supports and externally, multiple vendors and other third party service providers
Highly proficient in Microsoft platform (Word, Excel, PowerPoint) and Google Suite platform
Physical Demands / Environmental Factors
Prolonged and irregular hours of duty, as necessary
Some light to medium level of manual labor (e.g., preparing mailings, moving boxes of materials, etc.)
Compensation And Benefits
The salary range for this position is $88,580-$99,653, and is commensurate with an individual’s experience and skills.
