General Description

The Work Systems Manager will play a crucial role in managing and optimizing work processes within a division of NorthWinds, reporting directly to the Vice President. This position involves division-specific reporting, process improvement initiatives, and handling ad-hoc requests to ensure smooth operations and enhanced efficiency.

Essential Duties And Responsibilities

  • Responsible for the development, administration, and ongoing optimization of the work intake and management processes within the assigned division of NorthWinds following the approved framework (e.g. ITIL for IT Service Management or SAFe for Software Engineering).
  • Responsible for overall administration, management, and ongoing optimization of the work management system within the assigned division of NorthWinds (e.g. ServiceNow for IT Service Management or JIRA for Software Engineering).
  • Primary responsibility to analyze assigned division s current throughput/value delivery to clients to identify work process, tooling and communication inefficiencies and propose areas for improvement to delivery leaders. Ensures opportunities are prioritized, implemented, and realized through ongoing monitoring and reporting to senior leadership.
  • Partner with division leaders to help them apply process improvement methods to optimize delivery workflows to enhance productivity and operational efficiency.
  • Collaborate with division leaders to align process improvements with business goals.
  • Generate and maintain regular reports on key performance indicators (KPIs) for the division. Ensure timely and accurate reporting to the Vice President of each division.
  • Provide data-driven insights and recommendations to support strategic decision-making.
  • Assist in the planning, execution, and monitoring of division-specific projects.
  • Coordinate cross-functional teams to ensure project milestones are met.
  • Provide regular and open communication across delivery teams and stakeholders on team progress and challenges.
  • Manage and coordinate team dependencies.
  • Track project progress and address any issues that arise promptly.
  • Provide input on resourcing needs to address critical bottlenecks.
  • Respond to and manage ad-hoc requests from division leaders, providing timely and effective solutions.
  • Support various administrative tasks as needed to facilitate division operations, including participation in annual strategy and budgeting cycles.
  • Adapt to changing priorities and tasks as required by the Vice President of each division.
  • Understand and support company strategic goals, metrics and initiatives.
  • Interact with senior level management to help champion and communicate new ideas and ensure appropriate size and scope of proposed action plans.
  • Support internal and external audit activities as requested.

Non-Essential Duties And Responsibilities

  • Special projects and other duties as assigned
  • Promote NorthWinds successes to current and prospective clients.
  • Assist with cost benefit analyses for projects and assist clients in prioritizing projects.
  • Ensure that the functional requirements are fully met by the solution

Education/Experience/Personal Requirements

  • Bachelor s degree in computer science, information systems or business administration (or other related field) with technology management emphasis and 7 years information technology experience required.
  • Minimum 5 years of experience managing significant projects, operational processes, or administrative management processes preferably within the health insurance industry.
  • Knowledge of project management, business processes, general management, and budgeting.
  • Demonstrated experience with a formal process improvement methodology (e.g. Lean, Six Sigma) strongly preferred.
  • Prior experience successfully driving work and related business outcomes within a high-tech environment focused on either software development or IT service management.
  • Demonstrate an excellent understanding of the organization s strategies, goals, and objectives.
  • Ability to understand and communicate complex business requirements to technology teams.
  • Demonstrated ability to design and leverage information to drive improved business outcomes.
  • Demonstrated ability to influence and motivate organizational leaders, team members, and external parties to produce quality work products within tight timeframes.
  • Demonstrated ability to manage multiple, concurrent projects.
  • Demonstrated ability to effectively prioritize and execute tasks and make sound decisions in emergency situations.
  • Demonstrated ability to analyze data and prepare reports, statements, and projections.
  • Experience working in a team-oriented, collaborative environment.
  • Ability to develop strong relationships at all levels inside and outside of the organization.
  • Professional written and verbal communication, interpersonal skills, and public presentation skills.
  • Must be self-motivated and directed, proven analytical and problem-solving abilities.
  • Proficiency in MS Office applications.
